Manage your calendars: search, activate, deactivate and delete

ES EN

The calendar list is the starting point for managing all of your organization's booking services. From here you can quickly find any calendar, see its status and public URL, and take actions such as activating, deactivating or deleting it with every safety guarantee.

Search and filter calendars

At the top of the list you will find two tools:

  • Search by name: Type any part of the calendar name and the list filters in real time.
  • Filter by status: Select Active, Inactive or All.

You can combine both filters at the same time.

Information shown in the list

Each row of the list shows:

  • The calendar name.
  • Status (active / inactive).
  • Public URL with the UTC offset. The URL is an active link: you can click it to open the widget directly.
  • Favorite star, always visible, to mark the calendars you use most often.

Activate a calendar

If a calendar is inactive, customers see a message saying there is no availability and they can't book. To activate it:

  1. Find the calendar in the list.
  2. Click the status button or toggle.
  3. Confirm the action in the dialog that appears.

The calendar becomes active immediately and starts accepting bookings again.

Deactivate a calendar

Deactivating a calendar prevents new bookings, but keeps all existing appointments and history. It is the right option to pause a service temporarily.

  1. Find the calendar in the list.
  2. Click the status button or toggle.
  3. A confirmation dialog appears. Enter the account owner's password.
  4. Confirm the action.
Note: Bookings already confirmed for future dates are not cancelled automatically when you deactivate the calendar. If you need to cancel them, do it manually from appointment management.

Calendars locked by an AI agent

If the calendar is assigned to one or more AI agents, you won't be able to deactivate or delete it while that assignment is active.

When you try either action, Agent8Ai will show a notice listing the agents that use that calendar, together with a direct link to each of them so you can manage them.

To unlock the calendar:

  1. Open each blocking agent from the links in the notice.
  2. Unlink or reconfigure the calendar in the agent settings.
  3. Once no active agent uses that calendar, you will be able to deactivate or delete it.
Why this lock? An active AI agent may be offering that calendar to your customers in real time. Deactivating it without updating the agent could cause errors in conversations.

Delete a calendar

Deleting a calendar is permanent and irreversible. Its settings and availability are deleted along with the calendar.

Warning: This action cannot be undone. If in doubt, deactivate it first and delete it later.

If you want to proceed:

  1. Open the calendar's options menu.
  2. A dialog will appear detailing the consequences of deletion. Read them carefully.
  3. Confirm that you understand the consequences by ticking the corresponding checkbox.
  4. Enter the account owner's password.
  5. Confirm the deletion.

Frequently asked questions

Can I reactivate a calendar I deactivated?
Yes. Deactivation is reversible. Follow the steps in "Activate a calendar" and it will be operational again.

I deleted a calendar by mistake. Can I recover it?
Not from the panel. That's why we recommend deactivating before deleting.

Why does the calendar appear locked?
Most likely it is assigned to an active AI agent. Check the lock notice — it includes the responsible agents and a direct link to each one.

What happens to future bookings if I deactivate the calendar?
Bookings already confirmed remain intact. Only new bookings are blocked.
