The Agent8Ai calendar: complete guide

ES EN

The Agent8Ai calendar is our own booking system: a page where your customers choose a service, day and time and book on their own, at any hour. It is included in every plan, including the free one.

It works on its own: you don’t need any channel connected. And if you also have an AI assistant on WhatsApp, Instagram, Messenger or your website, the assistant uses the same calendar to book appointments in the conversation.

A way to bring in customers

Every calendar has its public link, such as muserelay.com/book/your-business/your-calendar. Share it wherever people already find you:

  • Your Instagram or TikTok bio and your posts.
  • Your Google Business profile and your website.
  • Your email signature, quotes and invoices.
  • A QR code in your premises, on cards or flyers.

Anyone arriving through that link books in a minute, without calling or waiting for a reply.

How it is organised

PieceWhat it is
CalendarYour public calendar, with its link, time zone and settings. You can have one per business, location or service line.
Services (appointment types)What gets booked: duration, buffer before and after, colour and an indicative price. They can accept group bookings.
ResourcesWho or what serves: a person, a room, equipment or an online appointment. Each resource has its own hours and simultaneous places; if the customer doesn’t choose, the calendar assigns a free one.
HoursWeekly hours with several slots per day, single days (holidays or special hours) and periods (vacations).

You also decide the minimum notice for a booking (2 hours by default) and how far ahead it can be made (60 days by default). To start quickly there are templates by sector: dental or medical clinic, hair salon, beauty, veterinary, physiotherapy, psychology, coaching, consulting, car repair and restaurant.

The booking page

  • It shows your logo, brand colour and welcome message.
  • The customer picks a service, a professional (if you let them), a day and a time; slots are grouped into morning, afternoon and evening.
  • If a day has no free slots, it suggests the next available day.
  • It asks for name and email; the phone can be optional or required, and they can leave notes.
  • The page is available in English and Spanish.

Embed it in your website

In the calendar’s Embed tab you will find the code to paste into your website. It can be shown inline, as a pop-up or as a floating button, in light or dark theme and with your colour. For security, it only works on the domains you authorise.

Real bookings, no spam

By default the customer confirms the booking from an email they receive straight away; if they don’t confirm within 24 hours, the slot is released automatically. The page also has anti-bot verification and limits per address and per email.

After booking

  • The customer gets a confirmation email with a calendar file attached (.ics) to add the appointment to Google Calendar, Outlook or Apple Calendar, plus emails if it is changed or cancelled.
  • Emails go out in the customer’s language: Spanish, English, Catalan, Galician, Basque, French, German, Italian or Portuguese.
  • Reminders by email (for example 24 hours before, or 24 and 2 hours before). If the customer agrees and you have WhatsApp connected, by WhatsApp too.
  • If you turn it on, you get an email for every new booking.
  • From My appointments the customer sees their appointments with a code sent to their email and can cancel them, within the minimum notice you set.

In your dashboard

  • Month, week, day or list view, updated in real time.
  • Create appointments by hand (it suggests slots and finds or creates the contact), move them by dragging and block slots for internal use.
  • Appointment list with status filters and CSV export.

With your AI assistant

Link the calendar to your agent and the assistant can check availability, book, tell customers which appointments they have, cancel them, reschedule them and explain each service (price, what it includes). Before touching an appointment it checks that the person writing is its owner and, if it can’t be sure, sends them a code by email.

Bookings that need your approval

If an appointment type has the “Requires approval” option on, the request is not confirmed by itself: it stays pending until you approve it. On the public booking page it always works this way. With the AI assistant it works on email mailboxes with the AI in “Prepare a draft to review” mode (the default), with the booking tool set to “With my approval if the appointment type asks for it”:

  • The customer asks for an appointment by email and the AI leaves the request pending: the slot is held for them for the time set by the calendar (the “pending expiry”, 24 hours by default) and they are told the team will confirm it.
  • The bell alerts you and, if connected, Telegram, with the appointment details and Approve and Reject buttons. In the panel you see the request as a card above the writing box of the conversation.
  • When you approve, the appointment is confirmed and the customer gets their confirmation and reminders as usual. When you reject, or if nobody decides in time, it is cancelled, the slot is freed and the customer is told. The first to respond decides.
  • If the appointment type does not require approval, in that mode the AI does not book: it offers the slot in the draft and you book it. If you prefer it to book directly, set the tool to “Automatic” in Configure mailbox → When the AI replies.

Integrations

To connect the calendar with another system there is the calendar API and signed webhooks that notify every appointment created, changed or cancelled.

Plans

The calendar is included in every plan. Each plan sets how much you can create:

  • Calendars: separate schedules (for example, one per location).
  • Resources per calendar: who or what handles each appointment: a person, a room, a piece of equipment.
  • Appointment types per calendar: the services you offer (haircut, check-up, online consultation…).
  • Appointments per cycle: the bookings made in each cycle of your account, across all your calendars. What counts is the day the booking is made, not the day of the appointment: a booking made today for two months from now counts in this cycle. Cancelled ones don't count. The cycle starts on the same day of the month you signed up.

The free plan includes 1 calendar, 1 resource, 5 appointment types and 50 appointments per cycle, with the “Powered by Agent8Ai” footer on the booking page. Paid plans raise these numbers and include WhatsApp appointment reminders and the Calendar API; removing the footer is possible from the Basic plan. Each plan's numbers are on Pricing.

When you reach the appointment limit, the booking page, the chatbot and the agents stop accepting new bookings until the next cycle starts or you upgrade; the customer is asked to contact the business directly. Appointments already booked are not affected. If you downgrade, nothing you created is deleted: you just can't create more than your plan allows.

What it doesn’t do yet

  • Take payment in advance: each service’s price is indicative.
  • Sync with Google Calendar or Outlook.
  • SMS reminders.
  • Reschedule from the public page: the customer can cancel and book again, or ask for the change by chat.
